If you’re trying to decide whether to hire a day-of coordinator when your venue already has a venue coordinator on staff, you’re asking exactly the right question. The answer depends on what your venue coordinator actually does versus what a day-of coordinator actually does — and those two things are not always the same.

What a venue coordinator does

A venue coordinator is an expert on that specific venue. They know the space, the logistics, the vendor load-in process, the timeline structure, and the way the day flows in that environment. Their job is to make sure the venue side of things runs smoothly.

This typically includes:

• Managing vendor arrivals and load-in
• Overseeing setup and making sure everything is in place
• Coordinating the ceremony and reception flow within the venue
• Handling any venue-specific logistics or issues that come up
• Being the point of contact for vendors on the day

What venue coordinators are not typically doing: managing your personal timeline, coordinating your family for photos, handling your personal vendor relationships, sending each person down the aisle, or troubleshooting situations that aren’t venue-related.

What a day-of coordinator does

A day-of coordinator (sometimes called a wedding day manager) is your personal advocate for the entire day. They’re there for you — not for the venue.

This typically includes:

• Managing your personal timeline from getting ready through the end of the reception
• Coordinating your family and wedding party
• Being the point of contact for all your personal vendors — photographer, florist, band or DJ, officiant
• Handling any personal issues that come up — the bustle that won’t stay, the family member who needs managing, the vendor question that needs an answer
• Making sure you don’t have to think about logistics and can just be present

Where the overlap happens

At a well-run venue, the venue coordinator and a day-of coordinator work in parallel — each handling their domain, communicating with each other so nothing falls through the cracks. When you probably don’t need a separate day-of coordinator

Ask your venue coordinator specifically: will you be managing my personal timeline? Will you be the point of contact for my photographer and florist? Will you be helping coordinate my family for photos? If the answer is yes to all of those, you may be covered.

When a day-of coordinator is worth it

If you have a large wedding party, complex family dynamics, many outside vendors, or simply want someone whose only job is to make sure you don’t have to think about a single logistics detail — a day-of coordinator is worth the investment.
