This is one of the most common questions I get on tours. The honest answer is: it depends on what each one actually does.
If you’re trying to decide whether to hire a day-of coordinator when your venue already has a venue coordinator on staff, you’re asking exactly the right question. The answer depends on what your venue coordinator actually does versus what a day-of coordinator actually does — and those two things are not always the same.
A venue coordinator is an expert on that specific venue. They know the space, the logistics, the vendor load-in process, the timeline structure, and the way the day flows in that environment. Their job is to make sure the venue side of things runs smoothly.
This typically includes:
What venue coordinators are not typically doing: managing your personal timeline, coordinating your family for photos, handling your personal vendor relationships, sending each person down the aisle, or troubleshooting situations that aren’t venue-related.
A day-of coordinator (sometimes called a wedding day manager) is your personal advocate for the entire day. They’re there for you — not for the venue.
This typically includes:
At a well-run venue, the venue coordinator and a day-of coordinator work in parallel — each handling their domain, communicating with each other so nothing falls through the cracks. At The Era, our venue coordinator is deeply experienced and handles the venue side of the day comprehensively. Couples who work with an outside day-of coordinator consistently say the two roles complement each other without duplication.
If your venue coordinator’s role is genuinely comprehensive — covering both venue logistics AND personal timeline management — and your wedding is relatively straightforward in terms of vendor count and family complexity, you may not need a separate day-of coordinator.
Ask your venue coordinator specifically: will you be managing my personal timeline? Will you be the point of contact for my photographer and florist? Will you be helping coordinate my family for photos? If the answer is yes to all of those, you may be covered.
If you have a large wedding party, complex family dynamics, many outside vendors, or simply want someone whose only job is to make sure you don’t have to think about a single logistics detail — a day-of coordinator is worth the investment.
The best day-of coordinators don’t add complexity. They absorb it. They show up having already talked to every vendor, already knowing the timeline, already anticipating the moments that need managing. The result is a wedding day where you are fully present from start to finish.
Whether you need one alongside your venue coordinator depends on your specific wedding. Ask both parties directly what their scope covers. The answer will tell you what you need.
